Special event support and recording (for University departments on Parkville campus)
We can arrange technical support and video recording for special events. If you are planning or organising a special University event on campus (e.g. public lecture, guest lecture or academic forum), consider recording the event to publish to the University of Melbourne’s iTunes U public site; the University website; or to webcast it as a live event for interstate or overseas viewers.
All presenters being recorded at the University for public broadcast must sign a copy of the audio-video consent form [PDF 32kb 1 page]. Send this form to Helen Thomson at the Copyright Office who must clear the recording from a copyright perspective.
Services
- Dedicated technical support during any special University event on campus (such as public lectures or academic conferences). A support consultant will remain on-site for the duration of the event, providing technical support for University installed equipment in the allocated venue(s).

This service is distinct from the Lectopia lecture recording service. If you only require Lectopia recordings, see the Lectopia booking procedure.
Use this booking form to request special event support and/or recording. Submit requests at least ten business days in advance of the event. A support consultant will contact you to discuss your requirements in detail.

Response within two business days.
Service provision is dependent upon availability of resources. A fee-for-service will apply (departments must supply an appropriate budget code prior to the event to enable processing of Themis charge-back by us).
Recommended venues for special event recording/video capture
Theatre A in the Elisabeth Murdoch Building (capacity 279) is the most highly recommended venue for video capture/special event recording of presenters and/or panel discussions, because of its unique design features and specialist configuration. The Copland Theatre (capacity 495), the Carrillo Gantner Theatre (capacity 486) and the Yasuko Hiraoka Myer Room (capacity 200) are our next most highly recommended venues for video capture/special event recording. Event recording options
Event style 'A': $600This option is only suitable for single presenters not using media such as PowerPoint or Keynote slides. |

Event style 'C'For a more professional looking product, this option includes the use of two or more cameras. Recommended for events which involve multiple presenters on panel discussions, or coverage of audience participation. |
Tips for a successful and professional event recording
- Contact us at least 10 days before the event to discuss recording options and arrangements for the event.
- Plan to start your event to allow at least 30 minutes for equipment and venue set up before guests arrive.
- Ensure all presenters have signed the audio-video consent form [PDF 32kb 1 page] for public release.

Technical support only
Fees are $75 per hour, additional fees may apply if you require any specialist equipment re-configurations.
Event recording:
The prices quoted above assume presentations of up to one hour's duration, on campus between 8.30am and 6pm Monday to Friday, and include staff, materials and equipment. We are happy to quote for events outside this time-frame following a detailed discussion of your requirements. We will endeavour to tailor a package to suit your needs.
A copy of the event will be provided on DVD and a master will be held in perpetuity at Digital Media Services, so that further copies can be provided, or re-purposing of material can be carried out upon request.
